Overall PURPOSE

Working as an important member of a diverse team who are committed to serve the world’s most vulnerable with practical and compassionate care the Logistics Officer supports many of the logistics activities of the programme.

On a day-to-day basis the Logistics Officer carries out a variety of functions required to ensure the logistical needs of the programme are met and that all logistical activities are delivered efficiently, accurately and on-time. The Logistics Officer also is responsible for government liaison tasks, to ensure that Medair meets the Jordanian legal requirement related to the Medair entity and programmatic activities. All activities are carried out in line with Medair policies and procedures, local law, and according to any applicable donor, GSO or statutory requirements.

 

PROJECT OVERVIEW

Medair’s programming in Jordan serves refugees and vulnerable Jordanians in addressing their health, social protection, and psychosocial support needs in rural and urban (non-camp) settings.

 

 

 

 

MAJOR OBJECTIVES:

  1. Logistics (~50%)
  • Act as procurement officer throughout the procurement process (PR to delivery & payment)
  • Identify vendors, collect quotes, document procurement, manage files
  • Ensure procurement documentation is up to date
  • Champion Medex system usage (e.g., create PRs, sign PODs)
  • Ensure SOP-compliant procurement with proper documentation
  • Follow up with suppliers for timely delivery and payments
  • Participate in tender processes (e.g., receiving offers and documents)
  • Train, advise, mentor, and coach programme base staff
  • Support emergency response logistics coordination
  • Ensure logistics operations comply with Medair and donor policies

 

  1. Government Liaison (~30%) (Reporting to DCD)
  • Act as liaison between Medair and local authorities
  • Maintain relationships with government departments, authorities, and law firm
  • Coordinate across departments for government submissions (e.g., proposals, reports)
  • Submit projects/amendments on JORISS and to relevant departments
  • Focal point with legal advisor for logistics, documentation, certifications, etc.
  • Support other government-related tasks as needed

 

  1. Administration (~20%)
  • Translate documents (English/Arabic)
  • Cultivate a welcoming office environment
  • Coordinate booking systems for shared spaces
  • Support event planning (team outings, trainings, workshops)
  • Track and maintain numbering of external correspondences
  • Manage internal communications (WhatsApp, Teams, Emails)
  • Coordinate travel logistics (documents, bookings, transfers)
  • Oversee accommodation for international staff/visitors
  • Support other administrative tasks as requested

Vocational Qualifications

University degree in relevant field

 

Work experience

At least 3 years post-qualification professional experience

 

Work experience in administration.

2 years post-qualification professional experience in an NGO setting

Languages

Mother tongue in Arabic;
Excellent English (written and spoken)

 

IT

Excellent with Microsoft products (Outlook, Excel, Word)

Experience in digital procurement systems.
