Job Description and Requirements

 

The European Union Delegation to the Hashemite Kingdom of Jordan/Sub-Office Yemen is looking for: a Policy Assistant in the Political, Press and Information Section.

We are

The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.

The EU Delegation to the Hashemite Kingdom of Jordan works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the Jordanian government in areas that are part of the EU’s remit.

We offer

The post of Policy Assistant (Local Agent Group 2) on political/protocol matters in Sub-office Yemen, acting also as assistant to the Political, Press and Information Section of which she/he will be a member. The team consists of six people and there are occasional atypical working hours.

Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Political, Press and Information Section, providing support, expertise and assistance in protocol and secretarial and procurement tasks.

The following main tasks and duties are currently required: 

Protocol tasks related to Yemeni authorities and interlocutors of the office, occasionally supporting staff of other sections of the Delegation and HQ with protocol matters for staff members’ travels and official correspondence:

  1. Main protocol point of contact with Yemeni Authorities, coordinating all protocol matters, including visa arrangements, visits and official correspondence.
  2. Assist with meeting organization involving political actors in Yemen or the region.
  3. Help manage a network of political contacts at both local and regional levels.
  4. Assist with coordination aspects related to political missions to Yemen.
  5. Providing occasional interpreting services during in-person political meetings in Amman (if/when the official translator is not available).

Overall organizational and administrative assistance in the Political, Press and Information section:

  1. Handling of incoming and outgoing correspondence for the section;
  2. Draft, format, edit and synthesize documents such as meeting minutes, agendas and Note Verbales for the section;
  3. Maintain section files; classification and filing,
  4. Collaborate with the Delegation’s translator as needed for compiling notes verbales and official letters;  
  5. Provide logistical support including relations with external stakeholders for the organization of section meetings/events and public diplomacy;
  6. Organize travel arrangements for members of the section’s missions
  7. Provide support to the Press and Information Officer and the Head of Section in procurement tasks related to the section action plan.
  8. Receive and welcome visitors to the section and other ad hoc tasks relating to the section’s activities.

The base salary will depend on relevant and verified employment experience, typically starting from 1771 JOD/Month.  There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.

The working hours are 37.5 per week (from Sunday to Thursday).

The contract - “local agent” post of Group 2- will be concluded for an initial fixed-term period of 2 years. The expected start date will be as soon as possible. 

Minimum requirements / eligibility criteria (necessary for the application to be considered)

  • Secondary education and a degree or diploma in a subject relevant to the post job description;
  • Minimum of 3 years of relevant experience
  • Excellent knowledge of English and Arabic
  • Right to residence and work in the Hashemite Kingdom of Jordan
  • Medical fitness to carry out the tasks assigned

Assets / selection criteria (basis for awarding points to select the best applicant)

Work history (or network of connections or similar) in the area of relations with external stakeholders, events and public relations.

  • Good knowledge of/experience from Yemen and/or the EU institutional framework and policies;
  • Previous experience working in an Embassy or international organization;
  • Knowledge of relevant Arabic dialect (Yemeni), knowledge of French or other EU languages;
  • Excellent level of skills of time management, and interpersonal skills; capacity of organizing and coordinating meetings and agendas;
  • Excellent communication skills;
  • Proactivity and Self-starter. Self-motivation and ability to work autonomously
  • Energetic person able to handle several strands of work in parallel in a high-pressure environment;
  • Prioritising and Organising. Respecting deadlines;
  • An ability to work well with others and in a team is vital;
  • Ability to handle politically sensitive issues in a responsible manner.

The process

After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose.

Depending on the number of applications received, successive phases of Selection may include shortlisting of candidates based assessment of the information provided in the cover letter, CV; practical testing and interviews. The two or three best candidates will be invited to the final phase.

Only candidates admitted to each successive selection phase will be contacted individually. The Delegation will use the same means of publication as for this job advertisement to inform the remaining candidates once the recruitment procedure has been completed and that a candidate has (or has not) been recruited.
