Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.

The EU Delegation to the Hashemite Kingdom of Jordan, in Amman, works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the 27 government in areas that are part of the EU’s remit.

We offer

The post of Administrative Assistant (Protocol) (Local Agent Job Profile of Administrative Assistant, Group II) in the Delegation’s Common Administration Section, under a fixed-term employment contract of 2 years, with a possibility of renewal under reserve of budgetary availabilities and operational considerations. For internal candidates holding an indefinite-term contract, alternative contractual arrangements may apply in accordance with institutional policies. The team consists of 29 people and there are occasional atypical working hours.

Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of the Common Administration Section, providing support, expertise and assistance in the Administration field.

Following main tasks and duties are currently required:

  • Liaison between the delegation and the national authorities (mainly the Ministry of Foreign Affairs and Expatriates) for all matters related to protocol matters;
  • Draft of all correspondence relating to registration and other formalities for expatriate staff and dependents; follow-up with all relevant administrations (customs, Ministry of the Interior, Ministry of Labour, etc.);
  • Organisation of VIP visits in close cooperation with national authorities, including, if necessary, the Royal Court;
  • Maintenance of section administrative records (protocol procedures); classification, filing and recording of correspondence and documents;
  • Advice on the procedures to be implemented to solve in a correct and fast way the particular files;
  • External stakeholder relations regarding events and public affairs;
  • Relations with the building landlord representatives;
  • Drivers and cars fleet coordinator.

 

The base salary will depend on relevant and verified employment experience, typically starting from 1,940.00 Jordanian Dinars.  There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.

 

The expected start date will be in November 2026.

Minimum requirements / eligibility criteria (necessary for the application to be considered)

  • Minimum of a Bachelor’s degree in Business Administration or any related field;
  • Minimum of 3 years of professional experience, including 2 years of relevant experience as a Protocol Officer. The professional experience must be acquired after the date on which the qualification allowing access to the post was obtained;
  • Working knowledge - written and spoken - of English (B2) and Arabic (C1);
  • Right to residence and work in the Hashemite Kingdom of Jordan;
  • Excellent knowledge of computer applications: Excel, Word, scheduling and communication;
  • Energetic person, able to handle several strands of work in parallel in a high-pressure; environment. The ability to work with others is vital;
  • Medical fitness to carry out the tasks assigned.

 

Assets/selection criteria (basis for awarding points to select the best applicant)

 

  • Good communication skills;
  • Experience and ability to work in a multicultural environment;
  • Previous professional experience working in an Embassy or international organization as aa Protocol Officer;
  • Knowledge of the customs system is an asset.

The process

After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose.

Depending on the number of applications received, successive phases of Selection may include shortlisting of candidates based assessment of the information provided in the cover letter, CV; practical testing and interviews. Best candidates will be invited to the final placement test, and an interview.

Only candidates admitted to each successive selection phase will be contacted individually. The Delegation will not supply additional information or discuss the selection procedure. During the selection process, please do not contact the members of the Selection Committee, but address your questions and comments to the Delegation’s Administration.
