Job Description and Requirements

This is to announce that Amman delegation has a vacancy for a Logistician at the Logistics Department in Amman, Jordan.

Logistician 1 is based in Amman, Jordan Delegation Logistics department and carries out support activities in the areas of procurement, purchase planning, import & export activities back-up as well as implementation and follow up of financial/administrative procedures and reporting in accordance with ICRC rules. Regulations, logistics standards and local legislation.

 

GENERAL DUTIES

  • Understands the roles of the components of the International Red Cross and Red Crescent Movement
  • Respects and observes staff regulations and security rules at all times

  • Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
  • May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary

ACCOUNTABILITIES AND RESPONSIBILITIES

Procurement & Sourcing

  • Manage procurement activities in full compliance with ICRC Logistics guidelines, Financial Management Rules, and Purchasing Policy.
  • Handle procurement of assigned portfolio, including issuing Requests for Quotation/Tender, preparing Selection Tables, negotiating prices and conditions (under supervision of the line manager), and finalizing contracts and frame agreements.
  • Source, assess, and monitor suppliers to ensure best value for money, compliance with quality requirements, and fulfilment of ICRC’s standards.
  • Ensure ICRC General Conditions of Purchasing/Work are communicated, understood, and signed by suppliers.
  • Liaise with LCS for approvals of high-value purchases.

Contract & Payment Management

  • Prepare and manage Purchase Orders (ODs) in IRIS/JDE from issuance to closure, including timely processing, supplier follow-up, delivery confirmation, and electronic archiving (Paperless Profiles).
  • Ensure contracts and orders are properly approved at Delegation and HQ level as required.
  • Track delivery schedules, inspection requirements, and contractual terms, ensuring suppliers meet obligations.
  • Monitor corrective actions with suppliers in cases of non-compliance or quality concerns Maintain accurate procurement records for audit purposes. Prepare, check, and validate supplier invoices; ensure proper documentation and approvals before submission to Finance.
  • Ensure timely payments by providing required documentation to Finance, following up on delayed payments
  • Provide financial accountability through regular settlements of working advances.

Reporting & Systems

  • Monitor procurement transactions daily in IRIS/JDE, ensuring accuracy, timeliness, and auditability.
  • Monitor procurement dashboards and KPIs regularly, reporting to the line manager as required.
  • Manages independently PaperLess Profiles and submits to line manager in due manner and time electronic procurement shells. Responds to comments from internal reviewers and updates shells.

Transport, freight, customs & shipping services (TCFS)

  • Act as a back-up for the TCFS responsible in the Delegation during their absence
  • Ensure all required documentation is properly established to clear import/export items in line with Jordanian law and customs rules.
  • Initiate and process exemptions with concerned Jordanian authorities (including MFA, JFDA, TRC, Jordan Standards & Metrology Organization, Traffic Department, etc.) for all ICRC importations and diplomatic shipments.
  • Handle customs formalities in coordination with clearing agents and colleagues from Impex, Supply Chain, Warehouse, and other units for incoming and outgoing shipments.
  • Receive and expedite freight out of the country in collaboration with external commercial partners.
  • Coordinate with points of origin and HQ to ensure all shipping documents are accurate and received in a timely manner.
  • Manage import-export formalities related to institutional and personal effects, ensuring proper coordination and updates between all involved parties.
  • Verify and process invoices from customers, freight-forwarders, and clearance companies, submitting them to Finance in a timely manner.
  • File, archive, and maintain accurate departmental documentation for import/export activities.
  • Actively participate in internal logistics meetings and provide accurate updates on active files.

ADDITIONAL DUTIES

  • Follows up on all work-related messages and correspondence with the relevant contacts and departments.
  • Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position.
  • Collects and shares information to improve the ICRC’s understanding of the environment and humanitarian trends and responses.
  • Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image.
  • Takes responsibility for their own professional learning and development.

 

EDUCATION AND PROFESSIONAL EXPERIENCE REQUIRED

  • University degree in Logistics, Procurement, Supply Chain, Business Administration, or a related field (or equivalent professional experience).
  • Good command of English (spoken and written).
  • Computer proficiency (MS Office and related tools).
  • Minimum of three years of professional experience, preferably in logistics, Procurement, or business administration.
  • ICRC/Humanitarian field experience is considered an asset
