Job Title

Senior Assistant, Health Informatics

 

JOB SUMMARY

We are looking for a motivated Senior Assistant, Health Informatics with a background in information technology and training in health informatics to support the ongoing success and continuous improvement of the Pharmaceutical Information Management System (PIMS).

PIMS is a comprehensive digital platform that integrates pharmaceutical logistics, prescribing, dispensing, reporting, and other health information workflows to strengthen supply chain management and optimize patient care.

The Senior Assistant, Health Informatics will work closely with product, development, implementation, and support teams to ensure that PIMS functionality aligns with defined requirements and real-world user workflows. The role will have a strong focus on system validation, functional testing, release readiness, issue identification, and verification of system enhancements, while also supporting users and contributing to training activities.

 

MAIN TASKS AND RESPONSIBILITIES

 

1. System Validation, Testing and Release Support (70%)

  • Review functional requirements, user stories, change requests, workflows, and acceptance criteria to understand expected system behavior and identify gaps or inconsistencies.
  • Develop, maintain, and execute structured test cases, test scenarios, and validation checklists for new functionality, system enhancements, configuration changes, and software releases.
  • Conduct functional testing across PIMS modules to verify that features operate in accordance with documented requirements and intended workflows.
  • Perform regression testing following system changes to ensure that existing functionality continues to operate as expected.
  • Validate complete end-to-end workflows across inventory management, receiving, transfers, dispensing, prescribing, reporting, administration, and other PIMS functions.
  • Test system functionality from the perspective of different user groups, including pharmacists, clinicians, supply chain staff, warehouse personnel, program teams, and system administrators.
  • Validate business rules, calculations, data validations, alerts, notifications, user permissions, reports, dashboards, and other system controls.
  • Test online and offline workflows and supported desktop and mobile environments where applicable.
  • Identify and document system issues with clear descriptions, replication steps, expected and actual behavior, screenshots, supporting evidence, and relevant system information.
  • Reproduce reported issues and provide development and technical teams with sufficient information to support efficient investigation and resolution.
  • Verify completed fixes and confirm that identified issues have been appropriately resolved before closure.
  • Conduct regression testing following fixes to identify any unintended impact on related functionality.
  • Support User Acceptance Testing activities, including preparation of test scenarios, coordination with users, documentation of results, tracking of identified issues, and verification of corrective actions.
  • Support release readiness activities by confirming completion of planned testing, documenting outstanding issues, and identifying potential functional or operational risks.
  • Maintain structured records of test cases, results, identified issues, resolutions, and supporting evidence.
  • Perform exploratory testing to identify unexpected behavior, workflow inconsistencies, usability challenges, and edge cases not covered by predefined scenarios.
  • Validate partner-specific configurations and workflows before deployment or release to ensure that they operate in accordance with approved requirements.
  • Support validation of system integrations and automated processes, including data exchange, synchronization, field mappings, API transactions, and error-handling workflows.
  • Review recurring production and support issues to identify opportunities for additional testing, stronger system controls, or improvements to existing workflows.
  • Provide structured feedback to product and development teams based on testing findings and observed system behavior.
  • Contribute to the continuous improvement of system validation, testing procedures, documentation, templates, and release processes.
  • Collaborate closely with product, development, implementation, DevOps, and technical teams throughout the software development and release lifecycle.
  • Other system validation, testing, and software-related tasks assigned by the supervisor.

 

2. Software Support (20%)

  • Provide Tier-1 technical and functional support for PIMS users, addressing common issues related to system access, navigation, transactions, configuration, and workflows.
  • Act as an initial point of contact for assigned PIMS inquiries and ensure that user-reported issues are appropriately documented and followed through to resolution.
  • Log, categorize, investigate, and resolve support requests where possible.
  • Reproduce reported issues and determine whether they relate to user workflows, system configuration, expected system behavior, or potential software defects.
  • Escalate issues requiring deeper technical intervention to the appropriate development, DevOps, or technical teams with clear supporting documentation.
  • Follow up on escalated issues and communicate resolutions, guidance, or available workarounds to relevant users.
  • Identify recurring support trends and provide structured feedback to product and technical teams.
  • Maintain troubleshooting guidance, FAQs, and other support knowledge resources.
  • Other support-related tasks assigned by the supervisor.

 

3. User Training and Capacity Building (10%)

  • Support remote and in-person PIMS training, onboarding, demonstrations, and refresher sessions for relevant user groups.
  • Assist in developing and maintaining user manuals, SOPs, quick reference guides, walkthroughs, videos, FAQs, and other learning resources.
  • Ensure training materials remain aligned with current PIMS functionality and system releases.
  • Provide practical demonstrations of system workflows and support users in understanding appropriate use of PIMS functionality.
  • Gather feedback from users during training activities and communicate relevant usability, workflow, or system improvement opportunities to the appropriate teams.
  • Support post-training follow-up and targeted assistance where users require additional guidance.
  • Maintain appropriate documentation of training activities, participation, and identified learning needs.
  • Other software implementation and training-related tasks assigned by the supervisor.

 

MINIMUM REQUIREMENTS

  • Bachelor’s degree in IT or pharmacy related field with relevant experience in health informatics.
  • Experience or Internship in health informatics, software training, client support, or software implementation is required.
  • NGO experience is preferred.
  • Strong communication and interpersonal skills with a client-oriented mindset.
  • Advanced technical knowledge of software systems and troubleshooting practices.
  • High attention to detail, organizational skills, and ability to multitask in fast-paced environments.
  • Fluent English language.
